Enable link and file tracking in Titan Email

The Titan Link and File Tracking feature lets you monitor when recipients click links in your emails and download shared attachments.

Learn how to enable link and file tracking, view tracked activity, and maintain email deliverability while using these features. By the end of this guide, you'll be able to track recipient engagement and better understand how they interact with your emails.

 

Enable Link Tracking

Link Tracking notifies you when recipients click on the links included in your email. This can help you measure engagement and understand how your audience interacts with the content you send.

Follow these steps to enable link tracking:

  1. Log in to your Titan Webmail.
  2. Open the Composer window and start drafting a new message.
  3. Enter the recipient's email address and add a subject line.
  4. In the message body, add a hyperlink by selecting Insert Link from the formatting toolbar.
  5. Enter the URL and the display text for the link.
  6. Turn on the Track this link option.
  7. Click Insert to add the tracked link to your email.

Once the email is sent, you'll receive a notification whenever a recipient clicks a tracked link, including the recipient's details and the date and time of the interaction.

 

Enable File Tracking

File Tracking notifies you when recipients download the files and attachments you've shared. Tracked files are securely hosted and are automatically removed after 60 days to help maintain security.

Follow these steps to enable file tracking:

  1. Log in to your Titan Webmail.
  2. Open the Composer window and create a new email.
  3. Add the recipient's email address and subject line.
  4. Click Attach File (paperclip icon) from the toolbar, then select Attach tracked files.
  5. Select the file or files you want to monitor and attach them to the email.

After the email is delivered, you'll receive a notification whenever a recipient downloads a tracked attachment, along with the date and time of the download.

 

View tracking insights and activity

You can review link clicks and file downloads from the Link and Attachment Tracking dashboard.

  1. In the top-right corner of your webmail, click Read Receipts (eye icon).
  2. Select a tracking notification from the list.

The tracking dashboard will open, displaying detailed information about that email. From here, you can review the engagement data such as email opens, link clicks, attachment downloads, and their associated timestamps.

 

Best practices when using link and file tracking

Following these best practices can help improve email deliverability and reduce the chance of your emails being marked as spam.

  • Avoid adding tracked links and files to every email you send.
  • Use tracking only when it is necessary to measure engagement.
  • Send tracked emails only to recipients who have agreed to receive communications from you.
  • Avoid sending large volumes of tracked emails to unsolicited recipients.
